Under general supervision, the Vital Records Specialist collects, records, and maintains all paperwork and fees associated with birth, death, and marriage records and prepares all related reports.

Essential duties and responsibilities may include, but are not limited to, the following:
Verifies that the information provided on death certificates, and birth records are appropriate for recording and complete on a daily basis.
Records birth and death records information through data entry on personal computer to maintain accurate and timely records. Issues marriage licenses and makes appropriate entries to index such information.
Scans documents and enters data into corresponding computer system.
Processes funeral homes requests; provides certified copies of death certificates to funeral homes.
Provides assistance and customer service for walk-ins; responds to calls regarding vital records.
Prepares and reconciles a variety of reports as required.
Provide work direction for clerical staff assigned in vital records area to ensure daily activities are completed property; trains new clerks in reviewing in issuing licenses, copies and entering data.
Enforces Iowa code and implements new policies and procedures to meet regulatory requirements.
Maintains accurate record of certified copies issues and inventory of safety paper for internal use and prepares a report for the State. Attends and participates in training, conferences, and seminars as required.
Demonstrates the ability to exemplify, by his/her actions, the County PRIDE philosophy.
Performs related duties as assigned.
Education, Training, and Experience Guidelines:
High school diploma or GED equivalent; AND two (2) years of clerical experience; OR an equivalent combination of education, training, and experience.
Knowledge of:
Applicable local, State, and Federal laws, codes, regulations, and ordinances.
Records maintenance and retention policies, procedures, and practices.
General office policies, procedures, and equipment.
Customer service principles, practices, and etiquette.
Skill in:
Maintaining and handling confidential and sensitive information.
Typing and entering data with speed and accuracy.
Preparing clear and concise reports.
Maintaining accurate records and filing systems.
Operating a computer and standard office equipment proficiently.
Establishing and maintaining cooperative working relationships.
Communicating effectively verbally and in writing.
